Office Manager
About the role
The Office Manager is responsible for the Steelmaking and Steel Products business projects and administrative functions as it relates to maintaining appropriate standards and compliance with Quality Management Systems, Sharepoint database and reporting and procurement functions.
This role acts as the key point of contact in the disemmination of informration to the workforce within the Business Unit.
Key responsibilities for this role:
- Manage the document control system, processes and policy in accordance with Project Services guidelines.
- Project Administration activities, including registration of engineering & other critical Steel Products Operations documents.
- Own Business Improvement/Continuous Improvement projects in the administration space & deliver with single point accountability from idea through to commissioning (PPE /labour hire cost management /Consumables/Time & motion based Office ergonomics/Operational pulpits/housekeeping (5S- Champion) etc).
- Steel Products office area Fire Warden ownership.
- Operate & maintain the SharePoint based document archive systems.
- Process all email, mail and fax communications – in and out of the Business Unit.
- Fleet Vehicle Management and allocation.
- Purchase Requisitioning and Procurement Support.
- General clerical/administration duties as requested to support Business Unit Manager and Business Unit Lead Team.
- System administration and document ownership for Cority, Intranet and Quality system domains. Driving overdue actions in this space and closure/action tracking.
- Drive Time in field roster agenda for Business Unit Lead Team along with action impact tracker to drive improvements.
- Drive & Support Business Unit Manager schedule to attain best time in value scenario with action driven reporting/tracking format with each team engagement sessions/meetings
- Draft & drive Business Unit communications/newsletter & other key communication including infographics with Business Unit Manager to drive active value-based engagement at front line on regular daily/weekly/monthly basis.
Experience and Qualifications
- Advanced Computer Skills: Microsoft Office Suite
- Exposure to SAP
- Excellent problem solving and analytical skills
- Good verbal & written communication skills
- Previous experience in managing and adhering to the requirements of a quality management system
