Coordinator - Contracts and Services

About The Role:

The Contract Services & Site Support Coordinator operates within a site-based environment supporting mining and processing site services. The role works closely with site leadership, contractors, procurement, safety, finance, and corporate fleet administration, managing daily, weekly, monthly, and ad hoc priorities.

 

The position coordinates contracts, procurement, safety support, fleet administration and site services to ensure effective service delivery, compliance and operational support across site departments. Strong attention to detail, proactive follow-up and the ability to work autonomously within established systems and processes are essential.

 

The role requires a minimum onsite presence at the SMR operation of three days per week.

Key Responsibilities:

  • Act as the primary site contact for contractor, procurement and vendor queries for shared service contracts.
  • Coordinate contract performance monitoring, audits and compliance activities, escalating issues where required.
  • Raise and manage requisitions and purchase orders in SAP, ensuring approvals and releases occur before work commencement.
  • Liaise with procurement, finance and site teams to resolve vendor payments, invoicing and purchasing issues.
  • Administer site access and induction systems (INX), ensuring compliance with site entry and training requirements.
  • Provide safety administration support including inductions, documentation control, reporting and PPE compliance.
  • Coordinate fleet administration including vehicle registers, driver changes, cost centre updates and utilisation monitoring.
  • Manage site services coordination including cleaning contracts, shutdown cleans and contractor performance.
  • Prepare operational and safety reports and contribute to site operational and safety meetings.
  • Provide financial administration support including invoice processing, cost centre allocation and contract cost tracking.

About You:

  • Experience in contracts administration, procurement, or site services coordination.
  • Strong understanding of purchase order, requisition, and invoice workflows.
  • Experience working with systems such as SAP and INX (or similar).
  • Sound understanding of safety compliance and contractor management requirements.
  • Ability to prioritise work and maintain tight deadlines.
  • High level of attention to detail and ability to manage multiple priorities.
  • Strong communication skills with the ability to engage effectively at all levels
  • Highly organised, proactive and able to manage competing priorities
