Document Management Specialist

About the role

Reporting to the Health, Safety, Environment and Community (HSEC) Manager, the Document Management Specialist provides administrative and organisational support to enable the efficient execution of roles.

 

This role is responsible for the efficient management and organisation of documents at LIBERTY Bell Bay, ensuring the integrity, accessibility, and compliance of critical records.

 

Other accountabilities include:
 

  • Maintain well defined and structured repository for storage of documents and records using the preferred GFG system.

  • Ensure relevant stakeholders can efficiently and effectively retrieve accurate, current, and relevant information.

  • Ensure revision management is in line with the document management system and legal framework

  • Effective management of archival and retrieval processes and system in areas of responsibility

  • Implement and administer enterprise-wide document management systems and related procedures that allow LIBETRTY bell bay to capture, store, retrieve, share, and destroy electronic records and documents.

  • Conduct needs assessments to identify document management requirements of departments or end users.

About your experience

You have excellent influencing, communication and interpersonal skills to establish and maintain effective working relationships with multiple groups of internal & external stakeholders.

 

You will also have:
 

  • Tertiary qualification in Business Management, Business Admin, Quality or Systems is ideal

  • WHS Qualifications & safety background favourable

  • Extensive experience with technical document writing in the field of HSE or other related fields, engineering, business management

  • Demonstrated competence in the use and development of document management systems e.g. SharePoint

  • Working experience using Adobe Acrobat including PDF reader, PDF converter and Digital Signatures

  • Expertise  using MS Office including Outlook, Word, Excel
