Executive Assistant / Office Manager
About the role
Liberty Primary Metals Australia is part of GFG Alliance, a global group operating in the steel, mining, and energy sectors. The company owns and operates the Whyalla Steelworks and associated mining operations in Australia. This role currently provides high-level executive assistance to both the CEO and CFO, ensuring efficiency and strategic alignment of executive priorities. Additionally, the role manages the Adelaide office.
Responsibilities include but are not limited to:
- Maintain and manage the CEO and CFO’s calendars, appointments email/inbox, outgoing communications and meeting schedules, ensuring prioritization and efficiency

Coordinate executive meetings, agenda preparation, minute taking and follow up actions

Organise travel arrangements, including flight bookings, accommodation and detailed itinerary preparation

Liaise with internal and external stakeholders including government agencies, corporate partners and customers

Manage expense reports, credit and reconciliations and invoice processing for the CEO and CFO

Oversee the daily operations of the Adelaide office, ensuring a well-organised, safer, healthier and happier professional environment

Liaise with building management, security personnel and external vendors regarding office maintenance and compliance

Manage office supplies, facilities maintenance and administer security access cards

Coordinate internal events, celebrations and executive engagements within the office

Maintain confidentiality and discretion at all times
Our ideal candidate has outstanding organisational and time management skills and can confidently navigate the coordination of complex calendar schedules, executive meetings and travel itineraries. You will be a pro-active team player with exemplary attention to detail, a flexible approach and a high level of professionalism and respect for confidentiality.
Skills and qualifications required:

A minimum of 5 years experience supporting at executive level

Outstanding organisational and time management skills

Expert level written and verbal communication skills

Experience assisting management with the creation of PowerPoint presentations and reports

Strong knowledge of contemporary IT tools relevant for the role, MS Office, including Word, Excel, PowerPoint and Outlook

Experience scheduling travel arrangements and internal office celebrations and events.

Professional with the ability to communicate effectively at all levels and handle confidential information with discretion in a fast paced environment

Flexible and available for after hours support where required
