Area Coordinator

This position provides comprehensive administrative, operational, safety and compliance support to site leadership, ensuring efficient day-to-day operations, adherence to organisational standards, and effective coordination of workforce, contractors, shipping and production activities.

Key Responsibilities:
- Manage key tracking and reconciliation, ensuring compliance with key contracts for shipping and the supply of goods and services.
- Manage sales enquiries, visitor and contractor sign-ins, and general site enquiries.
- Process requisitions, purchase orders and invoices (including utilities, contractor claims and sales yard invoicing) and maintain credit card and fuel reconciliations.
- Maintain store inventory, order consumables and first-aid supplies, and manage key registers, light vehicle data, servicing and reporting.
- Adhere to all WHS, environmental and injury management policies, including early intervention and RTW processes.
- Participate in SBOs, site audits and critical control verifications; maintain safety registers, housekeeping audits, SMP/EMP calendars, MSDS and chemical management systems.
- Support implementation and monitoring of the Business Safety Strategy and maintain associated KPIs.
- Support onboarding of new starters, arranging PPE, equipment and required training, and facilitate site and visitor inductions.
- Provide backup machine operation (water truck, loaders, dump trucks) as required; training and competency to be developed on site.
- Support direct field supervision of operational and maintenance contractors.
- Act as secondary point of contact for all shipping enquiries.
- Maintain and communicate the 12-month shipping forecast, ensuring agents, ship loaders, vessels and customers receive required documentation.
About You:
- Hands-on experience managing documentation, data entry, scheduling and general office administration
- Strong organisational and time-management skills
- Strong computer literacy and ability to learn new systems quickly
- Intermediate competency in the MS Office suite, particularly Word and Excel
- Previous experience working in operations (highly regarded)
- Exposure to SAP or other enterprise systems (highly regarded)
- Heavy Rigid (HR) licence (highly regarded)
- Basic accounting skills, including accounts receivable and invoicing (highly regarded)
- Willingness to obtain further qualifications (e.g., Cert IV in Training & Assessment)
